What to Include in an Appointment Reminder Text
Write a clear appointment reminder text with the right details, useful timing, and a simple way for customers to reply before their visit.

Make tomorrow’s visit clear
Help customers arrive prepared when you are closing the office and checking tomorrow’s calendar. A booked client still needs to remember where to go, what to bring, and how to reach you if plans change. An appointment reminder text should make those answers easy to find without asking the customer to search through an earlier conversation.
Treat the reminder as a practical note about an existing appointment, not a fresh sales message. Its job is to help the customer prepare and give your team time to respond.
Include what the customer needs
Start with your business name, then state the appointment day, date, and time. Add the location or explain whether the appointment is by phone. Include the time zone when customers might be elsewhere. Use a specific date rather than relying only on “tomorrow,” especially if someone reads the message later.
Add only essential preparation instructions and a clear reply request. For a sensitive appointment, leave private case details out of the text.
A simple template: “Hi [name], this is [business]. Your appointment is [day and date] at [time] at [location]. Please bring [essential item]. Reply if you need to change your appointment.”
Choose timing around preparation
Work backward from what the customer needs to do. A reminder the day before can suit a straightforward local visit. Send it earlier when the customer needs to gather documents, arrange transportation, or make time away from work. Choose a reasonable daytime hour in the customer’s local time.
Avoid stacking reminders simply because the appointment is approaching. An additional message should serve a purpose, such as sharing an essential arrival instruction. Before sending, check that the appointment is still scheduled and that its time and location have not changed.
Decide what happens after a reply
A reminder creates work if nobody knows who handles the response. Name the person responsible for checking replies and reviewing requests to change an appointment. Make sure the team knows where to verify the current booking before answering.
Do not ask customers to confirm unless your team has a clear way to record that confirmation. Treat “I might be late” differently from a cancellation. Today, review your reminder wording alongside the actual reply process, and remove any instruction your team cannot reliably support.
Give reminders a reply path
Text.st gives your business an activated phone number customers can text. Booking reminders can be sent by text, and the shared Inbox shows every conversation to the team so team members can reply. These capabilities support the reminder and the conversation that follows.
Messaging certification is required before business texting in some countries, and Text.st assists with that process. [Get your business texting number with Text.st.](https://app.text.st/auth)
Common questions
Should I send an appointment reminder the day before or earlier?Choose timing based on preparation. The day before may suit a simple local visit. Send earlier if the customer needs documents, transportation, or time away from work. Use a reasonable local daytime hour and check the booking is still current before sending.
Should my reminder ask the customer to confirm?Ask for confirmation only when someone on your team can review the reply and record it against the booking. Otherwise, invite customers to reply if plans change. Do not treat silence as a cancellation unless that handling was clearly agreed with the customer.
What should a reminder for a sensitive appointment leave out?Leave out case descriptions, medical details, and other private information that is not needed to attend. Keep the message focused on the agreed appointment details and essential preparation. Check the customer’s preferred contact method before sending, especially when a phone may be shared.
